Meeting Date: Wednesday July 8, 2026

Call to Order
The meeting was called to order by President Tracy.
 
Roll Call
Present: Tracy (President), Jeff (Treasurer), Bob (Property Maintenance/Major Projects), Brenda (Secretary), Ray Unit 12. Connie Unit 20 joined later but experienced audio issues.
 
New Business – Nikki's Pizza Patio Proposal
The Board reviewed Nikki's Pizza's request to install a seasonal outdoor dining patio. The proposal includes seating for approximately 15–20 patrons, seasonal operation, hours of 11:00 a.m.–9:00 p.m., no smoking, no outdoor amplified music, soft lighting, and alcohol service in accordance with licensing requirements.
Discussion focused on potential impacts related to noise, lighting, traffic, and future operational changes. 
 
The Board agreed the proposal is reasonable and presented. A request to assess use will be made after the dining area is functioning after a year with plaza management and Naki’
 
 
Property Maintenance & Major Projects
Bob reported that the community’s siding, decks, roads, and other exterior components are showing signs of aging and require long-term planning. A Community-Wide Property Management Meeting will be held on zoom July 29 at 6:30 p.m. to discuss the condition of the property, review maintenance responsibilities, and encourage homeowner participation. Future Major Projects Committee meetings will focus on identifying and prioritizing upcoming capital projects. The Board encouraged all unit owners to attend the meeting and participate in the committee.

Maintenance Responsibilities
The Board clarified maintenance responsibilities as outlined in the Great Woods Condominium Association Bylaws as it pertains to the Garage Doors and Windows. Homeowners are responsible for the maintenance, repair, and replacement of windows, garage doors, interior window trim, and interior caulking. The Association is responsible for the maintenance and repair of exterior window trim and other common elements as defined in the Bylaws.
 
Lighting
The Board reviewed repair options for the non-functioning lamp posts. Due to the high cost of locating underground electrical faults, the Board supported replacing the affected fixtures with solar-powered lamp heads as a cost-effective alternative. The Board agreed to evaluate the appearance and light color of the new solar fixtures after installation. If the difference in aesthetics or light tone is determined to be significant, replacement of the remaining lamp heads with solar fixtures will be considered as future budgets allow.
 
Treasurer's Report
General Checking: $22,328
Capital Reserve: $35,977
The Association remains generally within budget. The annual insurance renewal invoice is pending and is expected to be approximately $14,000.
 
Other Business
The Board discussed ongoing parking concerns, carpenter bee activity, and homeowner maintenance requests. Following adjournment, Tracy and Brenda reviewed website administration procedures for publishing minutes and community communications.
 
Action Items
·       Tracy: Draft response to Nikki's Pizza and circulate to the Board before sending.
·       Bob: Schedule the Major Projects Committee meeting and evaluate solar lighting.
·       Jeff: Pay the insurance premium upon receipt.
·       Brenda: Prepare and distribute draft meeting minutes.
·       Major Projects Committee: Develop recommendations for future capital projects.
 
Adjournment
A motion to adjourn was made by Jeff, and seconded by Bob and approved unanimously. The meeting was adjourned.
